Inviting Team Members

How to invite team members to your Zelosify organization and assign them roles.

Who Can Invite?

  • Admins can invite anyone and assign any role
  • Vendor Managers can invite vendors (Vendor role only)

How to Invite Team Members

  1. Navigate to SettingsTeamMembers
  2. Click "Invite Member"
  3. Enter the invitee's email address (or multiple, comma-separated)
  4. Select a role:
    • Admin — Full system access including user management and billing
    • Vendor Manager — Contract management, vendor lifecycle, AI features
    • Hiring Manager — Resource requests review, talent management
    • Business User — Resource request submission, limited view access
  5. Optionally assign to a department
  6. Click "Send Invitation"

Bulk Invitations

  • Click "Bulk Invite" to upload a CSV file
  • CSV format: email, role, department
  • Maximum 100 invitations per batch
  • Download the template CSV for the correct format

Invitation Status

StatusMeaning
PendingInvitation sent, not yet accepted
AcceptedUser has activated their account
Expired72 hours passed without activation (can be resent)
RevokedAdmin cancelled the invitation

Managing Invitations

  • Resend: Click the refresh icon next to a pending invitation
  • Revoke: Click the X icon to cancel a pending invitation
  • Change role: Must revoke and re-invite with the new role (or change after acceptance)

Vendor Invitations

Vendors receive a specialized invitation that:

  • Grants them access only to their own vendor portal
  • Shows only contracts and SOWs assigned to them
  • Provides timesheet submission access (if applicable)
  • Does not expose other vendor or internal data
